Making and Editing Documents in the Chat

Your secretary makes documents for you: PDF, Word and Excel files, with pictures. Ask in one message, open the file beside the chat, change it in words or with a pen, and send it on. It is the same secretary that follows people up, so the invoice it makes is the invoice it can send and chase.

Make a document

  1. Write what you want and give the facts in one message, for example: "An invoice for my client: 3 items, 15% VAT", or "A one-page thank-you letter to the sales team".
  2. Say PDF, Word or Excel if you need a particular format. PDF is the default.
  3. Wait for the document card. It shows the version and has Open and Download.

It writes correct Arabic (right to left), Hijri or Gregorian dates, and puts your logo in when you upload it. Totals, VAT and the amount in words are calculated, not guessed. If a detail the document cannot do without is missing, it asks you once.

Every file is also saved to Documents.

Change it in words

Write the change: "make the title bigger", "delete the last row", "make the bar orange", "remove the page numbers". Only the part you meant changes. Each change is a new version; ask "go back to version 1" to bring an older one back.

Change it with a pen

  1. Select Open on the card, then Edit.
  2. Write, draw, highlight, add a picture, or sign by hand.
  3. Choose one:
    • Save PDF keeps your marks as a new version.
    • Send notes to your secretary closes the editor and puts your notes in the message box. Add a line if you like and send. The secretary applies the marks and asks when a mark is unclear.

A hand signature is a mark drawn on the page. It is not a certified digital signature.

Pick the file to work on

The Working on menu above the message box chooses the file for your next message:

  • This chat: every document made in this conversation and its versions. Pick an older version to build on it.
  • Documents: search your workspace library and add one or more files to your message.

If you pick nothing, the secretary works on the latest version of the latest file.

Your own files

  • Word: upload it and ask for a change. It is changed in place and everything else stays exactly as it was. Ask for tracked changes to see each change as a suggestion with comments.
  • Excel: change cells, formulas, rows, columns or add a sheet. A change that would break a formula is refused.
  • PDF: fill an official form, merge files, keep, delete, reorder or rotate pages, add a watermark or a password, or replace a line of text when the new text fits.
  • Several files: summarise them into one document, find a sentence and its page, compare them, or check their claims on the web.

Templates

Say "save this as a template". Confirm the fields it proposes. Next time, in any chat: "the invoice for this client with these numbers" gives the same layout with new values and the next invoice number.

Long reports (30 to 60 pages)

Ask for a long report or proposal. A plan card shows the sections, the length and the estimated cost. Nothing starts until you select Start report. The report is researched and written in the background, with charts from real data, pictures, a cover, contents and a list of the sources it used. You can leave the page; the card shows its progress and its place in the queue.

What it does not do

PowerPoint, PDF to Word, editing the text of a scanned PDF, certified digital signatures, e-invoicing submission, and pictures inside an uploaded Excel file.

Cost

Each document uses coins from your workspace balance. See Billing for your balance.
